Key planning team responsibilities are as follows:
- Meet regularly by conference call and communicate by email in between meetings. Meetings shall begin nine months before the reunion. Frequency of meetings shall increase as the date draws near.
- Develop invitee list/spreadsheet; ask previous committee for list
- Determine reunion budget based on all projected expenses
- Determine reunion fee based on total budget and number of expected attendees
- Negotiate lodging and arrange for blocks on rooms; include options for various family sizes
- Include reunion logo on all materials
- Decide on goody bag for attendees
- Prepare and disseminate flier
- Promote the family reunion by various methods (emails, social media, postal mail, etc.)
- Track attendees
- Collect fees and deposit into bank account
- Design and order t-shirts
- Gather information on options for Friday
- Design and print keepsake programs
- Select and reserve banquet location
- Select and reserve cook-out location
- Prepare registration card
- Prepare name badges
- Plan menus
- Purchase supplies for cook-out
- Arrange for bus transportation as needed
- Work registration table/room
