Reunion Planning Team

Key planning team responsibilities are as follows:

  • Meet regularly by conference call and communicate by email in between meetings. Meetings shall begin nine months before the reunion. Frequency of meetings shall increase as the date draws near.
  • Develop invitee list/spreadsheet; ask previous committee for list
  • Determine reunion budget based on all projected expenses
  • Determine reunion fee based on total budget and number of expected attendees
  • Negotiate lodging and arrange for blocks on rooms; include options for various family sizes
  • Include reunion logo on all materials
  • Decide on goody bag for attendees
  • Prepare and disseminate flier
  • Promote the family reunion by various methods (emails, social media, postal mail, etc.)
  • Track attendees
  • Collect fees and deposit into bank account
  • Design and order t-shirts
  • Gather information on options for Friday
  • Design and print keepsake programs
  • Select and reserve banquet location
  • Select and reserve cook-out location
  • Prepare registration card
  • Prepare name badges
  • Plan menus
  • Purchase supplies for cook-out
  • Arrange for bus transportation as needed
  • Work registration table/room
